Microsoft Office 365 | September 2018 Updates

We have summarised the key updates you need to know for Office 365 this September. We see updates for many apps this month including PowerPoint, SharePoint and Microsoft Teams. To see the full detailed roundup, take a look at the YouTube video below:

Embedded fonts in PowerPoint for Mac

Nothing is more frustrating than opening a PowerPoint presentation on an alternative device to find that the fonts have changed to their default setting. Although not a major update, Microsoft have worked to ensure that users can display non-standard fonts as intended by embedding the font into your presentation saving users a lot of editing time.

To enable this, all users need to do is when saving the document, update the save options in the tools drop-down menu to include ‘embed fonts in file’.

This feature has previously been exclusive to just Windows devices, until now. Apple has now released this function to Office insiders. To embed a font, select ‘preferences’ then ‘save’ and select the new checkbox in dialogue box. Now fonts will display correctly on Mac devices, too.

New reports in Access

This September, Microsoft introduced a new set of easy-to-create charts, plus more ways to visualise and present data in a new and modern way. Adding visualisations to reports and forms in Access is now easier than ever with more intuitive controls.

New reports can be customised to fit a user’s specific needs using the new Chart Settings pane as well as the familiar Access Property Sheet. The current ActiveX-based charts will still be available, and Access power users can use the new charts alongside the classic charts. There are step-by-step instructions that you can share with your customers on how to use the new charts HERE.

Teams feature enhancements

Recently, Microsoft Teams announced several feature enhancements, for example, users can set their Teams status to ‘do not disturb’ but allow certain individuals to send messages so that users can concentrate on work. This is applied by managing priority access.

There is also a new Wiki app which enables you to keep private notes on the personal tab. Users can enable this by typing ‘/wiki’ in the top command box, then type a note, pressing ‘enter’ to add it to the personal tab on wiki. You can find out about the rest of the recent updates HERE.

Also, with the road map now completed for moving Skype for Business online capabilities to Microsoft Teams, Teams now has rich messaging features, meaning that users can host and record cloud-based meetings with robust calling features.

Share dashboards in Power BI

The number one feature request for Power BI was the ability to easily share dashboards both internally and externally. This month, Power BI Desktop introduced a new export to PDF command. Find out more details about this update in our Power BI update blog HERE.

Flow add-in for Excel

Users can now connect data to a wide range of services, including SharePoint, Dynamics 365, Microsoft Teams and more, using the Microsoft Flow add-in for Excel. Users can create an on-demand flow for selected rows in any Excel table for spreadsheets saved in SharePoint or OneDrive for Business.

SharePoint site creation improvements

Back in July, SharePoint introduced several improvements to the online site creation experience which aimed to empower users whilst ensuring admins had correct controls.

Until recently users were only able to create ‘classic’ SharePoint team sites, unless Office 365 Groups creation was enabled. Now, users can create both modern SharePoint team sites and communication sites. SharePoint admins and Office 365 global admins can either enable or disable the ability for users to create these SharePoint team sites and specify which type of sites users can create.

Microsoft Cloud App Security improvements

There are many benefits to moving your customers to the cloud and Office 365, but many resellers find that their customers are hesitant due to the myth that businesses are less secure in the cloud. It is important for a customer’s IT department to find the right balance between supporting access and maintaining control to protect their company’s data.

To help understand this balance further, Microsoft have recently conducted research which showed that more than 30% of apps used within organisations can be classified as risky. Taking over 70 factors into consideration, the Microsoft Cloud App Security evaluates every app used against regulatory certifications and compliance standards to provide your customers with insights to help them make more informed decisions on how to manage app-use within their organisation.

This month, Microsoft have added a further 15 new risk factors in the evaluation of apps to determine compliance with GDPR and the production of a new C-Level report which provides high-level key findings as well as recommendations for security improvements.

There will be plenty more updates next week at Microsoft Ignite held in Orlando. You can watch Ignite on demand via the Microsoft Tech Community or keep up to date by coming back to our regularly updated news items.
